2. What Data We Collect
We may collect and process the following categories of personal data:
- Prospect data — business name, job title, work email address, company name, company size, industry, and LinkedIn profile (sourced from publicly available sources and B2B data providers)
- Client data — name, business email address, company details, and billing information provided when entering into a services agreement with us
- Website visitor data — if you accept analytics cookies: pages visited, referral source, device and browser type, approximate location, and how you interact with the site (such as clicks and scrolling), collected using Microsoft Clarity. We do not use this to identify you personally.
- Booking data — your name, email address and anything you tell us when you book a call with us through Calendly
- Chat assistant data — if you accept cookies and use the chat assistant on our website: the messages you type and the replies you receive, plus basic technical data such as device and browser type. Please do not enter sensitive personal information into the chat.
- Communications data — emails, messages, or other correspondence you send to us
3. How We Collect Data
We collect data through:
- Direct contact (when you email us, complete an enquiry, or book a call with us)
- Publicly available sources (LinkedIn, company websites, Companies House)
- Third-party B2B data providers, including Apollo.io, who source data from publicly available professional directories
4. Why We Process Your Data (Legal Basis)
We rely on the following lawful bases under UK GDPR:
- Legitimate interests — for B2B outreach to business contacts, where we have a reasonable commercial purpose and have assessed that our interests do not override your rights. We only contact individuals at their business email addresses in a professional context relevant to their role.
- Contract performance — to deliver services to clients and manage the client relationship, including invoicing and reporting, and to take steps at your request before entering into a contract, such as arranging an introductory call.
- Legal obligation — where processing is required to comply with applicable law.
- Consent — for optional analytics cookies on our website. You can withdraw consent at any time (see section 10).
5. How We Use Your Data
- To conduct B2B outreach campaigns on behalf of our clients
- To deliver qualified lead information to our clients
- To manage client accounts, issue invoices, and provide campaign reports
- To respond to enquiries sent to us and to arrange and hold calls you book with us
- To comply with our legal and regulatory obligations
Where we send outreach from a client's own business email address, we do so on that client's behalf and in line with their instructions.
We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects.
6. Who We Share Data With
We may share personal data with the following third parties, solely for the purposes of delivering our services:
- Apollo.io — B2B data enrichment and CRM platform. Apollo.io processes data in accordance with its own privacy policy and standard contractual clauses for international transfers.
- Instantly.ai — Email outreach platform used to manage and send campaign sequences. Processes email addresses and outreach content.
- Calendly — online scheduling. If you click a button to book a call, you are taken to Calendly, which collects the details you enter and sends them to us. Calendly handles that data under its own privacy policy.
- Microsoft Clarity — website analytics (session recordings and heatmaps), used only if you accept analytics cookies. Microsoft processes this data in accordance with its own privacy statement.
- Chatbase — provider of the AI chat assistant on our website, used only if you accept cookies. Chatbase processes your chat messages to generate replies, in accordance with its own privacy policy.
- Our clients — Prospect data collected on a client's behalf is delivered to that client as part of the agreed services.
We do not sell personal data to any third party. We do not share data with any party not listed above without your knowledge, except where required by law.
7. International Data Transfers
Some of our third-party service providers (including Apollo.io, Instantly.ai, Calendly, Chatbase and Microsoft) are based outside the UK. Where data is transferred internationally, we ensure appropriate safeguards are in place, including standard contractual clauses approved by the ICO, in accordance with UK GDPR requirements.
8. How Long We Keep Your Data
- Prospect data — retained for the duration of an active campaign, plus up to 12 months after campaign close, unless an opt-out or erasure request is received
- Client data — retained for 6 years from the end of the contract, in line with UK legal and tax requirements
- Communications — retained for up to 2 years from the date of last contact
After applicable retention periods, data is securely deleted or anonymised.
9. Your Rights
Under UK GDPR, you have the following rights in relation to your personal data:
- Right of access — to request a copy of the data we hold about you
- Right to rectification — to ask us to correct inaccurate or incomplete data
- Right to erasure — to ask us to delete your data where there is no compelling reason to continue processing it
- Right to restriction — to ask us to limit how we use your data
- Right to object — to object to processing based on legitimate interests, including direct marketing. We will honour all opt-out requests promptly.
- Right to data portability — to receive your data in a structured, machine-readable format where applicable
To exercise any of these rights, email us at umer.waqar@helmpace.com. We will respond within 30 days.
To opt out of outreach: simply reply to any email from us with the word "unsubscribe" or email us directly. We will remove you from all active campaigns immediately and suppress your contact details from future outreach.
10. Cookies
Our website does not use advertising cookies. We use two optional tools: Microsoft Clarity (analytics) to understand how visitors use our site, and the Chatbase chat assistant to answer questions. Both only run if you accept cookies. Clarity sets cookies on your device (including _clck and _clsk) and records anonymised information about your visit, such as pages viewed, clicks, scrolling and mouse movements.
Clarity and the chat assistant only run if you click Accept on our cookie banner. If you click Reject, or ignore the banner, no analytics cookies are set and the chat assistant does not load. You can change your choice at any time: Cookie settings. You can also delete cookies through your browser settings.
For more about how Microsoft handles this data, see the Microsoft Privacy Statement.
11. Security
We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure. Access to personal data is restricted to authorised personnel only.
12. Changes to This Policy
We may update this Privacy Policy from time to time. The "last updated" date at the top of this page will reflect any changes. We encourage you to review this page periodically.
